IVC TeamHub Privacy Notice

Who this notice is for

IVC TeamHub is the internal work app of Healthcare Concierge PLLC, trading as IV Concierge. It is used only by people who work for us - nurses, wellness advisors, dispatchers, office staff and executives. It is not a consumer app, it is not for patients, and it holds no patient records.

This notice covers the IVC TeamHub iPhone app and the same site at app.ivconcierge.ai. It is written for the people who use it. If you work here and something below does not match what you see in the app, tell us and we will fix one or the other.

The short version

Location: when it is on and when it is off

When it is on

Location is recorded only while you have an open shift in the app. It starts when you tap Start shift and stops when you tap End shift.

On the iPhone app, the phone sends a point roughly every 50 metres you move. On the web version, no more than one point per minute. Each point is a latitude, a longitude, how accurate the phone says that reading is, and the time.

When it is off

Nothing is recorded before your shift starts, after you end it, on days off, or while you are on approved time off. Closing the app does not stop a shift - that is deliberate, so you can put the phone in your pocket and keep working - but ending the shift does.

If you forget to end a shift, our system closes it automatically once there has been no activity for 16 hours, and it backdates the end time to your last recorded activity rather than to the moment it noticed. That is the only case where a shift stays open after you have stopped working. Tell your manager and the record gets corrected.

Why the app asks for "Always"

iPhone asks whether an app may use location all the time or only while it is on screen. We ask for "Always" so that a shift keeps recording after you switch to another app or lock the phone. It does not mean the app watches you all the time. Outside an open shift it records nothing.

How to turn it off

Open the iPhone Settings app, go to Privacy & Security - Location Services - IVC TeamHub, and choose Never. You do not need to open our app to do this, and you do not need to ask anyone.

If you turn it off, the app can no longer confirm your arrivals and departures, and your dispatcher will have to call you for those times. Location sharing during shifts is part of the nurse and advisor roles, so talk to your manager before switching it off. Turning it off does not delete points already recorded.

Clock in and clock out

Separately from shift tracking, when you clock in, clock out, or punch a break, the app records a single location at that moment along with the punch. It is kept as a record of where the punch happened. There is no geofence - a punch is never blocked or rejected because of where you are, and if you deny location the punch still goes through with no coordinates.

What the app does not do

The help assistant

The in-app help assistant is powered by Anthropic's Claude. When you send it a message, we transmit your question, the earlier turns of that conversation, our own help documentation, the page you were on, and your role label, for example "Registered Nurse".

We do not send your name, your email, your user ID, your IP address, your location or your pay. Anthropic processes the message to produce the answer and does not use it to train its models. We keep a copy of the conversation in our own system so you and a person here can pick it up later.

If you would rather not use it, switch to Report a problem in the same screen and it goes straight to a person instead. Do not type patient names or health information into either one - neither is a clinical system.

Who can see your information

Inside the company, access follows your role. Every screen and every control is gated, and each change to who has access to what is written to a log that cannot be edited.

One thing worth knowing: if you subscribe to your schedule from your phone's calendar, the app gives you a personal link. That link works without a password, so anyone you forward it to can read your next 120 days of shifts - date, time, work site and job title. It contains nothing about any customer. Keep it to yourself.

Companies we send information to

We use a small number of outside services to run the app. Each is bound by its contract with us to protect your information to the same standard we apply ourselves, and none is permitted to use it for their own purposes.

Do it yourself in iPhone Settings, as described above. You do not need our permission and we are not notified.

Getting a copy, a correction, or a deletion

Email kuzma@ivconcierge.com and say what you want. We answer within 30 days.

There is no delete button inside the app because most of what it holds is a payroll and tax record. Email is the route, and a person answers it.

This app holds no patient records

IVC TeamHub deliberately contains no patient health information. Visit records in it identify the service billed and the nurse who performed it, never the patient. Our clinical records live in a separate system that this app does not connect to.

Records an employer keeps about its own employees are not protected health information under US health privacy law, even when the employer is a healthcare company.

Changes to this notice

If we change what the app collects, we update this page and change the date at the top before the change ships. Where a change is significant we also tell you inside the app.
